HR Coordinator (12 month FTC)

Work closely with the Human Resources Business Partners (HRBPs), Learning and Development Officer (L&DO) and Head of Human Resources and Training (HHRT) to deliver excellent HR admin and advice to managers and team leaders on employee relation matters.

Principle Accountabilities

1. Provide day to day operational and admin support to the HRBP’s, L&D Officer and Head of HR and Training

  • Provision of initial HR advice to managers and team leaders on employee relations matters
  • Coordination and management of relationships with third parties where appropriate- e.g. agencies supplying temporary and permanent staff
  • Maintenance of the time management system- including production of appropriate reports for payroll etc.
  • Primary responsibility for all administration involved in the employee life cycle to ensure appropriate records, correspondence and other documentation is created and stored in accordance with legal requirements and best practice- including GDPR. Preparation and issuing of employee correspondence (e.g. offer letters, contract changes, maternity etc.)
  • Coordination of wellbeing and engagement projects including research into potential new suppliers
  • Provision of support to the L&D Officer- including collation and coordination of the Company’s appraisal system
  • Administration of a range of employee benefits including Employee Development and Assistance Programme (EDAP) and HappyPeople
  • Provision of secretarial support to the Health & Safety committee
  • Provision and analysis of employee data to the HR team and Health Shield managersAssist with preparation of data for submission to payroll
  • Updating of the organisation chart on a monthly basis
  • Compilation of statistics and handling of requests for information- e.g. staff turnover

2. Provision of support to the HRBPs in dealing with a range of employee relations matters- including:

  • Absence management- e.g. scheduling return to work interviews and associated administration
  • Performance management- e.g. preparation of associated documentation, tracking of progress
  • Grievance and disciplinary- e.g. preparation of information, supporting managers and HR in meetings

3. Recruitment support

  • To support managers in the recruitment and selection process in order to ensure recruitment of the best candidates and adherence to the Company’s recruitment process and best practice

4. To support the HRBP’s and Head of HR and Training with the creation of new and the continuous development of existing policies, ensuring these reflect any changes in Employment Legislation

5. To provide project support as and when required, e.g. design specification and implementation of a new HR system, staff survey development, other ad hoc projects as required.

6. To undertake relevant training and study in association with the HR Coordinator role, to ensure continuous professional development in line with changes in employment law and best practice

7. Any other duties that may be required from time to time.

Education, Skill and Knowledge Required

  • Prior knowledge and experience of working within a HR team
  • CIPD qualified or part-qualified
  • Ability to multi task and be flexible
  • Employment law knowledge
  • Ability to prioritise and work to strict deadlines
  • Excellent communication and telephone skills
  • Ability to draft letters and memos
  • Excellent organisational skills
  • Understands the importance of confidentiality and professionalism
  • Methodical, accurate and pays meticulous attention to detail
  • High level of literacy and numeracy
  • Good analytical skills
  • Ability to work as part of a team and on own initiative
  • Basic knowledge of Health & Safety (desirable)
  • Good IT skills and knowledge & experience of the use of MS Office based packages

Work arrangements

  • Full-time, Monday – Friday 37 ½ Hours
